Based at our offices/workshops in Folkestone the we specialise in sales, servicing, maintenance, and repairs of all types of commercial kitchen equipment .

A major part of our business is the design, build and installation of new kitchen projects where we carry out all elements of the build in house from planning applications through extraction, HVAC, walls, floors, building works and appliance installation.

Job Summary


We are seeking a detail-oriented and proactive Business Administrator to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing comprehensive administrative support. This position requires strong organisational skills, proficiency in various software applications, and a commitment to maintaining high standards of professionalism.

Responsibilities


Office Administration

General office duties including answering phones, responding to emails, and managing correspondence. Maintain digital and physical filing systems for projects, safety records, and documentation. Order office and PPE supplies and ensure stock levels are maintained. Schedule appointments, site visits, and vehicle services. Support project teams with document preparation, job packs, and reports. Liaise with suppliers, engineers, and customers to coordinate jobs and servicing.
Marketing & Digital Content

Manage social media accounts with engaging content related to catering services, case studies, and company updates. Update websites regularly, including:
- add new projects and testimonials.
- maintain products, offers, and support content.
- ensure service info is accurate and user-friendly.

Assist in designing basic promotional materials (email campaigns, flyers, social posts). Monitor and report on digital engagement and campaign performance.
Health, Safety & Compliance Support

Vehicle Checks: Track and record vehicle inspections, servicing, and MOTs. Ladder & Equipment Checks: Log and update inspections of tools and site equipment. Site Safety Audits: Support the H&S process by preparing checklists, forms, and documentation. PAT Testing: Ensure testing schedules are followed and records are up to date. COSHH: Maintain COSHH register and Safety Data Sheets for applicable substances. PPE: Track distribution and usage; ensure compliance with proper usage. Fire Safety & DSE: Coordinate fire drills, DSE assessments, and workplace safety checks. Accident Reporting: Record incidents and assist with investigations and follow-up actions. RAMS: Assist with the preparation and distribution of Risk Assessments and Method Statements for site work. HAVS Monitoring: Track and record vibration tool usage by staff.

Requirements



Proven experience in an administrative role or similar position is preferred. Proficiency in Microsoft applications is essential. Familiarity with Xero or similar accounting software is advantageous. Strong organisational skills with the ability to manage multiple tasks effectively. Excellent typing skills with attention to detail for data entry tasks. Demonstrated ability to communicate clearly and professionally both verbally and in writing. A proactive approach to problem-solving and the ability to work independently as well as part of a team.
