Job Summary:

You will play a key role in ensuring the smooth running of our office and effective delivery of works. You will manage diaries, monitor work progress, track key performance indicators (KPIs), and produce comprehensive reports for the management team. You will interact with staff, management, directors, customers, and clients while providing essential support across multiple departments.

Key Responsibilities:



Diary & Job Management:



Oversee daily diary schedules and ensure all jobs are accurately allocated and updated throughout the day. Ensure jobs are logged correctly with accurate priorities, categories, and deadlines. Monitor work trackers to ensure information is up to date and aligned with service level agreements (SLAs).

Kitchen & Bathroom Planned Programme Management:



Update and maintain the planned programme, ensuring all details are accurate and current. Schedule design surveys with customers, kitchen designers, clients, and supervisors. Save and organize all survey information for the commercial team. Create project programmes on a Gantt chart in collaboration with the supervisor. Book works with customers, issue communications, and ensure clear scheduling. Schedule works for direct labour and subcontractors, coordinating efficiently across teams. Order and track materials to support project delivery. Manage the supervisor's diary to align with project requirements. Save progress photos and reports, ensuring documentation is complete and accessible. Collate and organize all completion certifications (e.g., electrical and gas). Send comprehensive completion packs to clients and update the project programme as needed.

Voids Management:



Log new voids upon receipt and ensure accurate tracking. Arrange and coordinate joint surveys with clients, saving survey notes and photos. Upon approval, create project programmes on a Gantt chart with the supervisor. Schedule work for direct trades and supporting contractors, ensuring adherence to KPIs and client deadlines. Request extensions of time where necessary and communicate updates promptly. Provide weekly progress reports to internal and external stakeholders. Issue completion emails with required certifications and final documentation.

Deadline & SLA Management:



Track and manage job deadlines, ensuring works are delivered in line with SLAs and KPIs. Identify and flag any jobs at risk of breaching deadlines. Review weekly Work in Progress (WIP) reports and cross-reference against trackers and diaries.

Customer Service & Relationship Management:



Respond to and manage client and customer queries professionally and efficiently. Build and maintain strong relationships with clients and key stakeholders. Handle customer complaints effectively, providing timely solutions and resolutions.

Administrative Duties:



Ensure all documentation, including site packs and certifications, are accurately collated, filed, and saved in the shared drive. Assist in ordering materials and managing commercial queries related to invoicing. Support recruitment processes by shortlisting candidates and participating in interviews.

Reporting & Meetings:



Prepare and deliver weekly and monthly performance reports to the management team. Conduct team meetings to discuss best practices, expectations, and performance insights. Take meeting minutes and share feedback with team members and management.

Health & Safety Compliance:



Ensure compliance with health and safety legislation and company standards. Promote health and safety awareness across the team.

General Support:



Provide direct support to the Company Director and assist in resolving operational challenges. Promote adherence to company policies and procedures.

Skills & Competencies:



Highly organized and able to prioritize tasks with minimal supervision. Strong Microsoft Office skills, particularly Excel, with a focus on reporting. Excellent administrative skills and keen attention to detail. Professional and flexible approach with a 'can do' attitude. Effective communication skills (both oral and written). Experience in scheduling, job management systems, and customer relationship management.

Experience:



Previous experience within Housing Associations, Local Authorities, or Social Housing (Client or Contractor side). Background in building maintenance and managing administrative tasks. Proven track record in delivering excellent customer service and handling queries. Experience in the construction and refurbishment sector. Ability to work under pressure and meet deadlines.
