The Role:


This is an exciting opportunity for someone highly organised and detail-oriented to join our administrative team in a crucial behind-the-scenes role. Reporting directly to the Clinic Director, you will play an essential part in maintaining accurate financial records and supporting the smooth operation of our clinics. You will oversee our healthcare billing processes, assist with invoicing, ensure payment accuracy (incoming and outgoing), and provide general administrative support.

Unlike our front-of-house Reception Team, this role is focused more on financial coordination, healthcare accounts, and day-to-day clinic operations from a systems and admin perspective.

The ideal candidate will be someone who enjoys working with numbers, takes pride in organisation, and has the initiative to spot issues before they arise. You'll support multiple clinics across different sites and help ensure everything runs smoothly behind the scenes.

Responsibilities include:



Manage and oversee the clinic's healthcare billing systems and procedures Accurately generate invoices for private and insurance patients and third-party payers Monitor payments received and follow up on outstanding balances Process outgoing payments and supplier invoices accurately and on time Assist with reconciling accounts and maintaining accurate daily, weekly, and monthly financial records Liaise with insurance companies and corporate clients to ensure correct documentation and payment terms Support the preparation of financial reports and work closely with our accountant when required Help coordinate private medical care documentation and ensure compliance with industry standards Assist with tracking therapist activity and revenue per clinic Ensure that all records are stored in accordance with GDPR and data protection policies Monitor stock levels and assist with supply ordering across all clinic sites Support the clinic management team with ad hoc admin tasks and projects

Qualifications & experience required:


You will be working closely with our director and clinic managers, so it's essential that you have a strong sense of responsibility, integrity, and a proactive approach to solving problems. The role requires someone who is confident with numbers, able to manage sensitive information confidentially, and thrives in a busy and fast-paced environment.

We're looking for candidates with the following:

Strong computer literacy and confidence using Microsoft Office (especially Excel) Prior experience in a bookkeeping, admin, or accounts-related role Experience using accounting software Xero. High level of attention to detail with strong numerical and data entry skills Ability to prioritise tasks and work to deadlines Excellent communication skills and a collaborative approach to working with others Reliable and trustworthy with a strong work ethic Experience in a clinic, healthcare, or service-led environment is beneficial
