We are seeking a highly

organised and efficient Assistant to the Directors and Office Manager to join our dynamic team.

This pivotal role combines PA and office management duties, acting as the face of our organisation while providing proactive executive-level support to the leadership team and ensuring the smooth operation of the office.

Key Responsibilities



Provide efficient & effective management assistance to the Directors, including: Arranging travel and accommodation bookings, including visas and the provision of itineraries where needed. Event booking and attendance registrations. Manage the Directors' diaries and mailboxes to triage/distribute accordingly, responding on their behalf when required. Work closely with the team to update the Directors on their day-to-day activities/priorities. Processing of expenses for the Directors as required. Notetaking and general assistance during meetings and presentations. Carry out specific projects and conduct background research on a variety of topics. Ensure Directors have required resources available for meetings and are prepared. Support the Directors in support tasks as requested. Ensure the smooth operation of office functions, processes and systems, including: General reception duties - answering the phone, greeting visitors, etc. All travel, accommodation and vehicle booking requests (including onward travel for visitors where required). Meeting room management, including callendars, cleaning and refreshments. Proactive management of office equipment. Arrangement of lunches, refreshments and snacalendarscks for meetings as required. Management of office provisions and contractors (including contract management). Planning and arrangement of Social activities and CSR (corporate social responsibility) events. Assist HR, IT and line managers with setting up and onboarding new employees. Assist Marketing and Business Development with the arrangement of trade shows and conferences, and other BD activities.

Skills and Qualifications



Extremely organised and effective at organising others. Previous experience as a PA and Office Manager Highly confidential and reliable with acute attention to detail Computer literate, proficient in MS Office packages. Strong diary management & travel coordination skills Ability to manage conflicting priorities, multitask, and remain detail-oriented Positive, proactive attitude with a passion for problem-solving Exceptional communication skills and confidence working with colleagues of all levels. quick thinking, adaptable and dynamic, ready to shape the role and make it your own! Excellent use of initiative to know what is needed Experience working in a fast-paced Technology/R&D/SME environment would be beneficial.
