We're excited to be looking for an Assistant Registrar - Quality & Student Services to join our Curriculum & Quality Directorate.
As Assistant Registrar - Quality & Student Services you'll provide strategic input and guidance on the design and implementation of key quality processes. You will also oversee services and relationships which have a critical impact on the satisfaction, wellbeing, retention, achievement and success of the Institute's learners.
You will:
be responsible for ensuring our quality plan and associated systems are fit-for-purpose and fulfil our obligations to both internal and external stakeholders
effectively project manage new processes, procedures, and initiatives; as well as accreditation and audit activities to ensure ongoing successful accreditation of programmes,
be responsible for the Institutes' quality assurance and compliance matters, Consumer Protection Law, and General Data Protection Regulation (GDPR) legislation.
be the main liaison with all External Examiners to ensure their review and reports are understood and implemented in each review period, alongside programme and module design.
provide inspirational leadership and management and hold accountability for the effective and efficient delivery of exceptional services underpinning the student lifecycle including:
o Psychological Wellbeing
o Support for extenuating circumstances and/or disability
o Support Coordination Service
o Health & Wellbeing
o Student Money, Advice & Rights
o Student Access & Information Management
The post is responsible for setting clear strategy and providing authoritative expert advice and guidance to the Institute's senior colleagues on matters relating to the Quality & Student services portfolio.
Leadership skills of ideas creation, translating these into action, inspiring others, managing self and multiple deadlines/ demands, managing stakeholder (internal/external) demands, are required. This role requires flexibility, resilience, tenacity, technical knowledge to both influence and resist stakeholder pressure - whether internal or external.
Key responsibilities
1. To lead and manage student records lifecycle functions and activities on a day-to-day basis including, enrolment and graduation.
2. To work in partnership with the Head of Programmes, delivery partners, and others, on the various aspects of student records management and Student Data, including overarching responsibility for ensuring that data requirements for external reporting activities/ bodies are maintained and up-to-date.
3. To work with the Head of Programmes and other staff to ensure quality and academic committees, and assessment panels are properly managed and supported in accordance with the Institute's policies and procedures, ensuring that actions arising are promptly dealt with and the results of the actions fed back at the next available opportunity.
4. Lead on providing training and support to ensure staff have sufficient operational knowledge across relevant policies and processes to support the administrative processes across both the student and programme lifecycle, especially student programme data for modules, assessments, results, reassessment and annual progression; production of transcripts.
5. Provide support for Study Weekend Visit Visas for international learners as appropriate.
6. To provide management data as required by internal and external stakeholders for the purposes of business planning (e.g. student enrolment, attainment, progression).
7. Lead the development of an integrated programme of services, responses, interventions, materials and communications to support learner retention, development, opportunity, engagement and achievement.
8. Present regular update reports on year-to-date performance and ensure service delivery represents efficiency and efficacy.
9. Develop and maintain excellent internal and external relationships, networks and partnerships to support the work of Curriculum & Quality Assurance directorate, and enhancing the Institute's reputation.
10. Accountability and ownership for developing appropriate Institute level initiatives, projects or groups, and contribute to others necessary.
11. Accountability and oversight of the Institute's learner facing policies, and internal and external reporting.
12. Developing the vision for, and establish a learner-service culture, seeking feedback from students, partners and stakeholders and adjusting services to reflect student needs and requirements.
13. Work flexibly including, when required, during evenings and weekends undertaking any duties, as required, relevant to the level of the post.
14. Develop collaborative ways of working, ensuring that governance and best practice is intrinsic in all working practices.
15. Implement a high-quality administration in line with Registry principles that support learners, staff, employers, and external agencies.
16. Manage external relationships with the Institute's compliance and accrediting bodies.
How you'll make an impact:
Ensure our quality plan and systems are fit-for-purpose and meet the standards required for our programmes and fulfil our obligations to both internal and external stakeholders
Ensure ongoing compliance with current accrediting bodies/ agencies.
Effectively project manage new processes, procedures, and initiatives and audit of activities to ensure ongoing successful accreditation of programmes.
Oversight of the Institutes' quality assurance and compliance matters, Consumer Protection Law, and General Data Protection Regulation (GDPR) legislation.
Liaise with External Examiners and link tutors to ensure their review and reports are understood and implemented in each review period
Excellent communication skills, written and verbal, with an ability to convey higher education student data, policy, and regulations to audiences at all levels.
Substantial experience of preparing reports based on student data, providing management information and reports.
Experience of using initiative, managing priorities, problem solving, analysing and decision making.
Experience of leading, influencing and managing change, and working collaboratively in a small team or small organisational context.
Arrange and facilitate the effective functioning of the Academic Committee, Quality Assurance Committee, Assessment Panels and any learner led committees
Seek, present and act on feedback from learners
Pursue innovation in role, working collegially with other key stakeholders and learners

Qualification
Appropriate qualification in Higher Education Management, Quality or equivalent
Relevant professional body membership
Skills
Proven ability to work effectively with awarding and/or accrediting organisation and key stakeholders to ensure high-quality delivery of teaching, learning, and assessment within a UK FE or HE environment, highlighting strong partnership skills.
Leadership of targeted intervention activities across systems and curriculum areas to address areas for improvement.
Collaboration with internal and external stakeholders for quality delivery
Ability to make strategic decisions based on evidence and data.
Excellent written and oral communication skills, including exceptional grammar and spelling.
Attention to detail and ability to work in team and independently.
Ability and inclination to work in an environment which is changing rapidly.
Flexibility with regard to working hours; potential to work unsocial hours on occasions and by agreement (e.g. serious incident management)
Requirement to participate in Open Days and orientation activities
Ability to operate across more than one location in a cost-effective manner
Meticulous record keeping, including drafting operational guidelines and standard operating procedures. Support the continual use and development of the processes, systems and software used by the Institute to manage grant activities.
Experience
2-3+ years' experience working in a UK FE or HE environment in a similar role
Proven track record of driving quality improvements/ demonstrated ability to initiate and implement effective quality improvement initiatives using robust processes while providing supportive guidance and direction.
Substantial experience in internal quality assurance/ Extensive background in leading and executing internal quality assurance activities, ensuring adherence to standards and continuous improvement in educational delivery.
