Brook Street is currently recruiting a temporary Assistant Administrator initially for 12 months to start ASAP. Contract likely to be extended. Office based in Harwell.

Introduction:

Research Complex at Harwell (RCaH) is a joint initiative of the Research Councils (BBSRC, EPSRC, MRC, NERC and STFC) and the Diamond Light Source, to provide a state-of-the-art multidisciplinary research laboratories on the Rutherford Appleton Laboratory (RAL) site adjacent to the new Diamond third generation synchrotron source.

As an Assistant Administrator you will provide support for the core team office.

An excellent package is offered, including:

  • Contract of 12 months likely to be extended
  • Office based in Harwell. Parking spaces available on site
  • \xc2\xa313.78 per hour
  • Full time Monday to Friday 36 hours per week. 9 - 5 Monday to Thursday, and 9 - 3:30 Friday. Half an hour for lunch
  • Holiday and pension scheme in salary
  • Full training will be given
Duties may include but not be limited to:
  • Diary management experience is a key requirement
  • Diary support for the Director and Associate Director
  • Acting as a point of contact for our researchers, contractors, or suppliers via email, over the phone or in person
  • Welcoming visitors to the building, organising site security clearance and showing them to meetings
  • Booking meeting rooms for colleagues and arranging meeting schedules
  • Organising and updating office databases
  • Processing invoices, tracking receipts, inputting expenses and other basic tasks
  • Arranging travel plans and hotel stays for staff members
  • Ordering new office equipment, such as stationery, printer refills, etc
  • Scheduling office meetings between teams, managers, and departments, and keeping accurate minutes
  • Responding to questions and requests for information
  • Being an active member of the Research Complex Core Team, supporting and deputising for team members
Required skills:
  • Experience of work as an office administrator is essential
  • Some experience in a research institute is desirable
  • Experience of working with creative, free thinking, highly intelligent and passionate individuals would also be useful
  • Strong communication skills - written and oral.
  • Good working knowledge of MS Office, especially Word and Excel.
  • Good interpersonal skills
  • Excellent customer service skills
Experience:

Essential:
  • Educated to Level 2 standard (5 GCSEs Grades A-C including maths and English Language)
Desirable:
  • A Level or above (or equivalent)
The role is subject to 3-year referencing and basic DBS check.
