Accountable to Matron for Horder Ward, Symptom Control and Palliative Care team Liaises with The post holder will work closely with a wide group of people including team members of the Horder Ward Nursing team, the wider multidisciplinary teams including the physiotherapy, Occupational therapy and discharge coordination teams, as well as patients and families attending Horder Ward.

1. Job Purpose Horder ward has 12 acute oncology beds with the purpose of providing treatment for all different patient treatment pathways at the Royal Marsden. Horder Ward has a special interest in symptom control and palliative care and the team on Horder work closely along side the palliative care team to support patients needing complex symptom control during admission. The Horder ward receptionist/clerk will be responsible for providing clerical support to Horder ward including transport bookings, accurate patient record keeping and supporting with referring to and liaising with community services for ongoing patient care. The receptionist/ clerk must maintain a high level of communication with the nursing, medical, multidisciplinary and administrative teams as well as the Royal Marsden patients and families. The role is demanding and requires an individual with good attention to detail, who is thorough and can robustly deal with any issues. A professional and caring attitude is also essential, and patient confidentiality and dignity must be maintained. The post holder will work closely with the Horder Ward Sister / Charge nurse to ensure the unit is run efficiently and smoothly.

Main Duties and Responsibilities:

Meeting and greeting patients on arrival to the unit, directing them to the Horder waiting area and acting as a receptionist to all visitors. Orientating visitors to the unit and explaining admission processes. Answering the telephone and acting as telephone receptionist for the unit. This will include referring the caller to appropriate members of staff or taking messages accurately when necessary. Ensure accurate updating of patient demographic details on the Patient Administration System and medical notes and inform registration of updates when required. Managing Horder Wards bed board, for example recording patient's arrival time, admitting patients into the ward bed on arrival. Ensuring the filing of papers, clinical results and reports to patients' case notes whilst on the unit and returning all notes to medical records. Ensuring all Discharge Summaries have been written to be sent to appropriate recipients. Liaising with hospital transport for patients bookings and confirm bookings Liaising closely with the co-ordinating nurse regarding special needs, translators, porters, infection risks etc to ensure smooth and safe operation of the unit. Maintaining constant contact with the Nurse in Charge and coordinate any potential admissions. The organisation and transfer of documentation, including photocopying and electronic transfer as necessary to other hospitals, hospice or community services. Uploading any external and internal documentation received. Scanning relevant hard copy data onto patients' case notes. Liaising with all clinical staff at all levels throughout the Trust. This includes maintaining good communication between in-patient and out-patient services: as well as acting as a link person where necessary. Ensuring that Horder Ward reception / waiting areas are kept tidy and all investigation forms are topped up, and displayed patient information is timely and appropriate. Ordering and maintaining substantial stationery supplies using the Shared Business Service. Ensuring stationery is stocked and stored in an efficient fashion for all staff to access. Completing all requisition forms, ensuring all requests are followed through, Including external work. Logging and checking any maintenance work required. Collecting all post/ parcels from the post room and sorting and distributing it to relevant staff promptly. Undertaking any other duties deemed appropriate by the Unit manager or team leaders to maintain the smooth running of the unit. Assisting in good communication between Horder Ward and all other RMH patient areas to ensure a smooth booking for any electively booked inpatients. Adhere to Trust Guidelines with regard to patient confidentiality. To ensure the Hospital Safety Policies are adhered to.

Customer Service To provide the highest level of customer service to patients and their families. To build and maintain excellent working relationships with all members of the Horder Ward team. Escalate any delays in service provision or concerns regarding patient safety appropriately. Signpost patients with questions to the most appropriate area / person General Liaison Communicate clearly, calmly and concisely with healthcare professionals, as well as patients and their families. Ensure all department procedures are adhered to and instructions are acted upon in a timely and efficient manner. To be pro-active and to use initiative throughout the day to carry out any other additional tasks
