The Opportunity:

We have an exciting part-time opportunity for an Administrator to join the Business Administration Services Team within Information Services (ISG) on a permanent basis. The successful candidate will play a pivotal role in providing professional administrative services across a defined Service Portfolio, the largest of which is ISG\'s flagship Recruitment Support Service. They will also provide essential PA support to ISG Directors.

What the job involves:

  • Co-piloting all stages of our recruitment process, proactive monitoring of all stages to ensure smooth and timely processing, in particular job offers and contract generation.
  • Supporting a diverse selection of committees and Groups across ISG Directorates.
  • Provide a PA support service to the ISG Directors, including diary management, meeting organisation, travel arrangements, and support with People & Money procurement.
  • Act as liaison for Freedom of Information Requests between Records Management, and ISG Information Practitioners, managing response times and ensuring that collated responses are returned to Records Management within the required deadline.
This part-time, open-ended position offers great flexibility with working hours, making it ideal for someone looking to balance work with other commitments. We are happy to accommodate working patterns of between 21-32hrs per week, which can be worked flexibly between our core hours of Monday-Friday 08:00-17:30. The individual will have a hybrid-working pattern, working partly from the office in central Edinburgh and partly from home.

Our team provide a broad suite of services including recruitment support, administrative and PA support, events, committee and finance support. This means the successful Administrator will have a rich and varied workload, contributing to a range of tasks critical to the smooth running of ISG.

Your skills and attributes for success:
  • Demonstrable experience in a similar role.
  • Able to provide a high-level of customer service in a busy environment with a friendly and approachable manner.
  • Evidence of a \'can do\' attitude and able to work effectively under pressure.
  • Ability to learn complex multi-step and multi-stage processes.
  • An appreciation of the need for tact and confidentiality.
  • A team player, comfortable with hybrid working and a matrix management structure.
