Administrator (International Student Experience)

Job Purpose

An exciting new opportunity has arisen to join our College of Arts team as an Administrator with responsibility for International Student Experience.

Based within the College of Arts and Humanities, and working within the International Development Manager\'s team, you will provide wide-ranging administrative and operational support for student-based operations. You will also provide some support to relevant Deans, and senior role-holders within College, ensuring their focus is on the delivery of the strategic objectives associated with their portfolio.

This is an excellent opportunity for an experienced and enthusiastic administrator to join a vibrant and inclusive team, and to play a key role in providing an excellent customer-focussed service to our international students across the College.

Informed by the College of Arts and Humanities Strategy, 2023-2028 and working in collaboration with all relevant teams; the purpose of this role is to deliver initiatives in support of international student experience. This includes supporting in-coming international student cohorts as well as enabling the College and University strategic objective to increase and sustain numbers of students benefitting from an international experience, including mentoring programmes, community-building, student communications and other initiatives.

Main Duties and Responsibilities

1. To be first point of contact on behalf of the College International Team and the Dean, responding to routine queries either directly or in consultation with other colleagues in College or elsewhere in the University.

2. To draft correspondence and written communications on behalf of team members including undertaking editorial and presentational work on documents, drafting letters or emails, presentations, papers, reports and minutes including, occasionally, confidential items.

3. To update and maintain online profiles and content relating to international students and international student experience, including web pages, social media and blogs.

4. To support and clerk relevant student-related College committees including: the effective scheduling of meetings; confirming meeting arrangements and requirements; maintaining committee membership records; liaising with key stakeholders aspects of committee business; preparing agendas and papers; taking formal minutes; logging actions and maintaining on-going communication with responsible officers to ensure completion of agreed actions.

5. Working across all our Schools to support the delivery of the University and College internationalization strategies including :

  • community building and support initiatives for visiting and other international student cohorts.
  • Supporting the delivery of our institutional target enabling 50% of our students to benefit from an international experience.
  • Co-ordinating promotional events for international experiences
  • Other emerging initiatives and projects in support of international student cohorts including out-going student
6. Collaborating with the College Marketing and Communications Team to ensure all student communications strategically co-ordinated and developed in line with College and University brand.

7. Collaborating with Schools Learning and Teaching teams, the College Advising team and other relevant areas or the University to ensure formal enrolment and progression processes are supported for all relevant students.

8. To provide operational cover on an occasional basis for other teams including the wider Student Services Teams, student-facing teams or other central operational teams within the College.

9. To access data, metrics and other information as appropriate on request, to support projects, enable committee business or other strategic initiatives; and to ensure that sensitive data is processed in accordance with the appropriate regulation.

10. To provide an excellent service to customers including students and staff, and to contribute to adapting service standards to ensure continuous improvement.

13. To represent the College or Team as appropriate on events, project groups or other forums; and to assist with graduation ceremonies both in the Summer and Winter.

14. Any other duties, within the parameters of the role grading, assigned by the College Head of Student Services or Line Manager.

Knowledge qualifications, skills and experience

Knowledge/Qualifications

Essential:

A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s). Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher/Scottish Vocational Qualification level 3, Higher NationalCertificate) or equivalent, and experience of personal development in a similar role.

A2 Knowledge and/or understanding of a Higher Education administration setting or similar environment.

A3 A clear understanding of the importance of international student communities and international student experience in an university setting.

A4 Evidence of on-going professional development and training.

Skills

Essential:

C1 Excellent communication skills, the ability to effectively liaise with a diverse student body, colleagues and other stakeholders.

C2 Excellent communication skills both verbally and in writing and a willingness and aptitude to write accurate records of meetings and other written reports.

C3 Excellent administrative and organisational skills.

C4 An ability to work collaboratively across all teams and to use initiative as required.

C5 Excellent IT skills and an aptitude for and interest in drafting effective and accessible content for web, social media and other communications platforms.

Desirable:

D1 Experience of University or similar systems e.g.Mycampus, Agresso etc.

D2 Project management skills.

Experience

Essential:

E1 Significant experience in a relevant role with evidence of progression and development gained from relevant work experience.

E2 Experience of dealing effectively with a wide range of stakeholders at all levels of an organisation.

E3 Demonstrable experience of providing excellent customer service ideally in a student-centred environment.

Terms and Conditions

Salary will be Grade 5, \xc2\xa325,138 - \xc2\xa329,605 per annum.

This post is full time (35 hours per week) and open ended.
