Industrial Services was acquired by Carmichael & Baxter in 2014 when the company's core fuel specialism was focused upon mechanical installation and maintenance.

We continue to lead the market in this field, and have steadily expanded our services, becoming Scotland's largest B2B provider of forecourt, bulk fuel installation and other fuel storage solutions, supply chain support alongside a comprehensive range of industrial trades, including mechanical, electrical, plumbing, joinery, painting and decorating, and roofing.

Working on both a main contractor and sub-contractor basis, our services are frequently deployed in conjunction with our sister company, civil engineering specialist, Carmichael & Baxter Groundworks



We are seeking a highly organised and proactive Office Administrator to join our dynamic team. The successful candidate will play a crucial role in ensuring the smooth operation of our office, providing administrative support to various departments, and contributing to the overall efficiency of our business.

Key Responsibilities



Reception Duties

:

Managing the main switchboard, answering calls professionally, directing enquiries, greeting visitors, and managing incoming/outgoing mail and deliveries. Administrative Support

:

Providing general administrative assistance to various departments and management, including typing correspondence, reports, and documents; formatting presentations; photocopying, scanning, and filing. Office Management

:

Maintaining office supplies inventory, placing orders, and ensuring communal areas (like meeting rooms and kitchen) are kept tidy and well-stocked Data Entry & Record Keeping : Accurately entering data into company systems and maintaining organised electronic and physical filing systems in line with data protection (GDPR) regulations. Communication: Liaising effectively with internal colleagues, external clients, suppliers, and other stakeholders via phone, email, and in person. Travel & Accommodation: Assisting with booking travel and accommodation for staff as needed. Basic Finance Support: Potentially assisting with processing purchase orders, invoices, or expense claims (training provided if necessary). Health & Safety: Adhering to company health and safety policies and procedures within the office environment. Other ad-hoc administrative duties as required to support the office team

Qualifications



Proven experience as an Office Administrator, Office Assistant, or relevant role. Excellent organisational and multitasking abilities. Strong communication skills, both written and verbal. Proficiency in MS Office (Word, Excel, PowerPoint). High level of attention to detail and problem-solving skills. Ability to work independently and as part of a team.
