Job Description


An exciting opportunity has arisen to join the Administration Team at Greater Manchester Police Force as an Administration Assistant.

This role is full time hours, Monday to Friday. 37 Hours per week this role is temporary ongoing

PLEASE NOTE THAT DUE TO POLICE VETTING CRITERIA YOU MUST HAVE BEEN RESIDING WITHIN THE UK FOR AT LEAST 3 YEARS CONTINUOUSLY UP TO AND INCLUDING DATE OF APPLICATION

MAIN DUTIES AND RESPONSIBILITIES

  • To maintain various records/information systems (either manual or computerised) relating to e.g. cash purchases, general procurement of goods and services correspondence, performance indicator data etc, seized cash, imprest account, input information into Force databases in a timely and accurate manner.
  • To monitor voicemail and email inbox systems as appropriate, retrieving, reviewing and directing messages ensuring diary systems exist to monitor the return of responses.
  • To maintain various filing systems e.g, financial records or correspondence generated.
  • To liaise with internal sections and external organisations e.g. to arrange general purchases and repairs.
  • To deal with cash including the handling of seized cash, banking of moneys, maintenance of cash floats for specified locations.
  • To produce Newsletters, undertake email circulations and maintain unit websites as required.
  • To process internal and external correspondence.
  • To receive, store and distribute various supplies e.g. stationery, clothing, equipment, pocket books.
  • To draft letters, minutes and memos as may be required.
  • To produce statistical and other reports on a regular or ad hoc basis as specified.
  • To undertake \'ad hoc\' tasks and requirements as may from time to time be requested.
  • OCB function only - to maintain records including the input of time due and rest days in lieu. (Temporary - until such time as the work is transferred to Transactional HR).
  • To promote and comply with GMP\'s policies on health and safety both in the delivery of services and the treatment of others.
  • Comply with and promote equality legislation and GMP\'s policies on diversity and equality. Take steps to eliminate unlawful discrimination, advance equality of opportunity and foster good relations
  • To fully participate in GMP\'s development review process
  • If you have responsibility for staff; to manage staff development, performance and attendance using appropriate GMP policy and procedure.
  • To comply with the requirements of GMP\'s policies on Drug and Alcohol testing - requirements in respect of specific posts/ roles are described in the policies which are available on the Intranet/SharePoint.
  • All staff and officers must adhere to and comply with Data Protection, Freedom of Information and Human Rights legislation and the Authorised Professional Practice (Information Management). It is the responsibility of all staff and officers to maintain data quality and security. Therefore when inputting, updating and using GMP information, you are to ensure that it is Accurate, Adequate, Relevant and Timely (AART), and that it is used / disclosed for business purposes only and kept secure. The most current guidance and advice in respect of compliance with the legislation and information / records management standards can be found on the Information Management Intranet site/Information Services SharePoint site.
  • Supervisors and managers have the additional responsibility of ensuring that staff undertake the appropriate training and fully understand and apply the required Force policy, procedures and information / records management standards in the course of their duties. Supervisors and managers should ensure that staff / officers understand their responsibilities in maintaining data quality and security and have appropriate processes in place to monitor compliance.
To carry out such other duties which are consistent with the nature, responsibilities and grading of the post.

Experience

BTEC qualification or equivalent.

Carried out duties/tasks relevant to the post including, checking/recording/inputting information; and associated filing.

Experience of software applications including typing.

Experience of dealing with stores/supplies, accounts and ledgers.* (Note for some posts where this is a large part of the job such experience will be essential and this will be indicated in the advertisement).

Worked in a clerical/administrative environment in a similar capacity to this post.

Capable of assisting in the property stores (involves lifting/carrying items of property).
