K A Electrical Services Limited are a company in a rapid growth phase and looking to scale upwards over the next three years. Therefore we are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our operation. This role requires strong organisational skills, proficiency in various software applications, and excellent communication abilities. The Administrative Assistant will be responsible for managing administrative tasks, facilitating communication, and maintaining efficient office procedures.
Responsibilities
:
Scheduling and Logistics:
Managing electrician schedules, time sheets, and ensuring timely invoicing
To receive incoming calls and record/manage these efficiently to the required job standard
To ensure clear communications are understood between the electricians and the office
Early escalation of any issues or concerns to line manager
Well organised and methodical, with ability to show attention to detail in all matters.
Ordering of stock, materials & components
Fergus Management & Regulations:
Maintaining accurate records of customer certificates, contracts, and other relevant documentation within our Fergus software
Building control notifications
Issue Escalation:
Identifying and escalating any issues or concerns to the appropriate personnel.
Clients:
To provide support to clients by telephone and email
To respond within agreed time frames, service levels and contract terms to ensure that work orders are met
General:
To understand and comply with policies and procedures
Routine administrative tasks
Storing of client certificates and other documentation
Adherence to the Data Protection Act 2018
To undertake any other reasonable duties as and when requested by management
Skills and Qualities:
Strong organisational skills
Good communication skills with management, clients & electricians
Attention to detail
Problem-solving skills
Ability to identify and resolve issues that may arise in the daily operations.
Computer literacy -Proficiency in using relevant software (e.g., scheduling programs, H&S).
You must be polite and well-mannered with a helpful "will do" attitude
Ability to work calmly under pressure.
Strong sense of time management, punctuality, and reliability.
Ability to work as part of a team and to develop and sustain good working relationships, communicating formally and informally with colleagues and customers
