The Administrative Assistant for Red Handling will provide essential support in a dynamic environment, ensuring the smooth and efficient management of administrative tasks including payroll. This role supports ground handling operations by coordinating daily office activities with a large focus around reporting of worked hours and payroll, maintaining records, and assisting in the organization. The ideal candidate will be highly organized, detail-oriented, and able to manage multiple tasks efficiently with some payroll experience.
Key Responsibilities:
Administrative Support:
Organize and maintain office files, records, and correspondence related to ground handling operations.
Prepare and process documentation, such as daily activity reports, payroll records, and employee attendance.
Draft, review, and distribute internal communications and notices.
Support with referencing, upload of references and maintaining temporary airside passes.
Supporting the planning department with the correct and accurate records of hours.
Note taking at meetings/investigations/reviews/disciplinary.
Allocating leave as per company guidelines.
Assisting with recruitment where required.
Ensure compliance with tax regulations, pensions, and employment laws
Assist with year-end activities, including issuing P60s, P45s
Experience with ADP payroll and RealTime system would be of benefit
Inventory and Supplies Management:
Monitor inventory of office and operational supplies, including uniforms, equipment, and forms.
Customer and Team Support:
Act as a point of contact for employee enquiries, providing information and resolving administrative concerns.
Support new hires with onboarding paperwork, training schedules, and access to required tools.
Qualifications and Skills:
Proven experience as an administrative assistant or similar role, ideally within the aviation industry.
Strong organizational skills with attention to detail and the ability to manage multiple tasks effectively.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling or resource management software.
Familiarity with ground handling operations, airline requirements, and industry regulations is a plus.
A knowledge of ID Gateway preferred but not essential.
Ability to work well under pressure and in a fast-paced environment.
Previous experience in a payroll administration role 1yr+
Working Conditions:
The role involves airside environment, with adherence to safety protocols required at all times and will require a 5 year reference period for an airside pass.
