Job Description


Our client is a family run business who specialise in property maintenance and asset management services. Due to organic growth of the company, they\'re now looking for an Accounts Assistant to join their friendly and motivated finance team.

The Accounts Assistant will support the Finance Director to oversee the finance and accounting processes and ensure key finance metrics are achieved.

Accounts Assistant / Finance Support day to day activities:

1. Finance Support - day-to-day activities in Finance as follows:
a) Contractors and Suppliers financial management:

  • Accurate payment of contractors in line with agreed timeline
  • Accurate payment of suppliers in line with agreed timeline
  • Manage Contractor statements and disputes
b) Customer financial management:
  • Reconciliation of customer invoicing
  • Manage Customer statements and disputes
c) Employee financial management:
  • Manage CIS Subcontractor timesheets and bi-weekly payments
  • Manage employee monthly payments
  • Manage company expenses and credit card reconciliation
  • Management of company bills - insurances/telecoms etc.
2. Helpdesk Support - day to day support related to accounts processes
a) Supplier Invoicing process to reduce the invoice backlog to less than 2 weeks max
b) Prompt closure of Jobs, to ensure jobs that are completed are moving promptly to
Customer Invoiced (known as completed WIP Jobs). Report status of completed WIP
jobs in weekly meetings
c) Manage the accurate financial creation of new customer and new contractor/suppliers
in simPRO. E.g. correct contractor VAT status, customer margin agreement etc.

3. Employee Process Support
a) Track employee absence, annual leave allowances, sick leave, other leave
b) Employee well-being meetings and performance review tracking

Key Skills for Accounts Assistant
  • Computer Literate and proficient in mathematics
  • Excellent English - written and spoken
  • Demonstrate accurate use of business tools - simPRO, Xero and excel (training provided)
  • Demonstrate accurate use of business banking systems - Handelsbanken and Lloyds
Corporate Card (training provided)
  • Apply knowledge of Finance processes to support Finance Director
  • Privileged role requiring full confidentiality of all business and employee information
